Initiating Service

How do we get started?

If you are interested in pursuing therapy or educational services with us, please fill out our online form here: Intake Form.

Our intake coordinators, Este Stewart and Cari Syron, will email you within two business days to set up a brief phone call to discuss your child’s needs and how we can help!

Which office you are interested in: we have offices in Alexandria, McLean, and  Annandale, Virginia.  Please indicate whether you are interested in treatment at your child’s school, home, or daycare center (While we are only able to provide minimal home/school services at this time, this option is a possibility and should be mentioned during the initial phone call). We also offer virtual sessions for families residing in various states, including Virginia, DC, Maryland, North Carolina, Florida and internationally. Please check with Este or Cari regarding what options are currently available.

Once your child is placed on a therapist’s caseload, sessions generally occur once or twice per week for billable hour sessions. Occasionally, shorter sessions, or more frequent sessions, are provided depending on your child’s needs. Your child’s therapy slot is reserved for him/her and therefore regular attendance is necessary in order to maintain that session time. Further information on our cancellation policy is located in the policy paperwork you will receive upon scheduling as well as in the Policies section of our website.

What information is gathered from the initial phone intake?

Your child’s biographical information (i.e. name, age, birthdate, grade, etc.)

The nature of your concerns regarding your child’s sensory needs, speech, language, motor development, or academics.

What services you are interested in (e.g., evaluation, individual or group therapy, co-treatment with OT/ST, tutoring, feeding therapy).

Additional assessments, if any, which have already been performed and the results of those evaluations. If you decide to pursue therapy with our clinic, we will ask for copies of any recent and pertinent evaluations and special education paperwork.

Your child’s schedule and availability to come for treatment and/or an evaluation.

What happens next ?

If your child has already been evaluated and is therefore ready to begin therapy sessions, the scheduling coordinator will attempt to find an open appointment slot that works with your schedule as well as the schedule of an appropriate therapist. Links to our HIPAA compliant forms will be emailed to you for online submission and review.

If no appointments are available that fit your family’s schedule, your child will be placed on our waiting list until an opening occurs. You will then be contacted to initiate services at that time.

If an initial evaluation is required, the intake coordinator will provide options with an appropriate diagnostician. Information on evaluation procedures, duration and when you can expect to receive your child’s formal report will be provided. Once scheduled, links to our forms will be emailed to you to be filled out and submitted for our review.

Payment and Insurance

Skill Builders is a fee for service provider and therefore payment is expected at the time of service. If your child is being seen in the McLean or Annandale offices, payment may be made directly to your therapist at the end of the session via cash, check or credit card. For clients being seen via teletherapy, offsite or in our Alexandria office, please call the office at 703-941-7757 ext. 210  at the end of the session to provide payment information over the phone. For recurring appointments, your card may be securely saved on file for future payments.

We are not participating providers for any insurance company and therefore submission of invoices/claims is the responsibility of the client’s family. We recommend families contact member services for information regarding their out of network benefits prior to the first session. If your insurance provider requires a prior authorization please let us know and we, as the provider, will submit the request for you. To avoid delays in your claims being processed we highly recommend submitting your invoices on a regular basis which also ensures any issues that may arise are addressed sooner rather than later.
